Local Water Supply (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use, store, and disclose personal information when you use our website and customer portal at book.localwatersupply.com.au.

1. Who we are

Local Water Supply operates a water cart hire service based at 1096 Jamberoo Road, Curramore NSW 2533. You can contact us by email at quotes@localwatersupply.com.au.

2. Information we collect

We collect personal information you provide directly, including:

  • Name, email address, phone number, and company name (where applicable)
  • Delivery address and site access details
  • Payment method details (processed securely by Stripe — we do not store card numbers)

For dry hire bookings, we additionally collect operator identity information:

  • Full name, mobile number, and email address
  • Driver's licence details: licence class, number, expiry date, and issuing state
  • Photographs of the front and back of the driver's licence
  • White card (construction induction) number (where applicable)
  • ABN (for contractor operators)

We also collect information automatically when you use our services:

  • Location data — with your consent, we may collect your device's GPS coordinates to assist with delivery address verification
  • Condition photos — photographs taken during pre-delivery checks, daily pre-start checks, and return inspections are stored securely and linked to your booking record
  • Digital signatures — electronic signatures captured during equipment checks are stored as part of the inspection record
  • Usage data — browser type, pages visited, and timestamps, collected via standard web server logs

3. How we use your information

  • To process and manage your hire booking
  • To prepare and send quotes and hire agreements
  • To communicate with you about your booking (confirmations, reminders, status updates)
  • To process payments and manage financial records
  • To verify operator eligibility to operate hired equipment (dry hire only)
  • To document equipment condition at delivery and return, and during daily pre-start checks
  • To comply with legal obligations including tax, insurance, and financial record-keeping
  • To investigate damage claims or disputes
  • To improve our services

We do not sell your personal information to third parties. We do not use it for unsolicited marketing without your consent.

4. Automated processing — AI-assisted licence verification

For dry hire bookings, photographs of operator driver's licences are processed using an artificial intelligence service (Claude, provided by Anthropic PBC) to automatically extract licence details such as name, licence number, class, and expiry date. This is used solely to assist our staff in verifying operator eligibility — a human reviews and approves or rejects every verification before any operator is permitted to use the equipment.

Licence images are transmitted to Anthropic's API for this purpose and are subject to Anthropic's Privacy Policy. We do not use your licence data to train AI models.

5. Third-party services

We use the following third-party services to operate our platform. Each has its own privacy policy:

  • Supabase — database, file storage, and authentication (supabase.com)
  • Vercel — website hosting (vercel.com)
  • Resend — transactional email delivery (resend.com)
  • Google Maps Platform — address lookup and distance calculation (policies.google.com)
  • SignWell — electronic signature for hire agreements (signwell.com)
  • Stripe — payment processing (stripe.com/privacy)
  • Anthropic — AI-assisted licence data extraction (anthropic.com)

Where these providers process your data, they do so as data processors acting on our instructions, except where they act as independent data controllers under their own terms. All providers are required to handle your data securely and in accordance with applicable privacy laws.

6. Location data

If you grant location permission in your browser, we use your GPS coordinates solely to pre-fill your delivery address in our quote form. Location data is not stored beyond the duration of your session and is not shared with third parties for any other purpose. You may deny location permission and enter your address manually without any impact on your ability to use our service.

7. Photos, signatures, and condition records

Photographs taken during pre-delivery inspections, daily pre-start checks, and return inspections — as well as digital signatures captured alongside those checks — are stored securely in our cloud storage and associated with your booking record. These records document equipment condition and may be referenced in the event of a damage dispute or insurance claim.

Operator driver's licence photographs (dry hire) are stored securely and accessible only to authorised Local Water Supply staff for the purpose of eligibility verification.

All photos and signatures are retained for 7 years after the booking closes to satisfy insurance and legal record-keeping requirements.

8. Data retention

  • Booking and customer records are retained for 7 years for accounting, tax, and legal purposes
  • Equipment inspection photos and signatures are retained for 7 years
  • Operator licence photos and verification records are retained for 7 years
  • Electronic signing records are retained as required by the Electronic Transactions Act 1999 (Cth)
  • You may request deletion of your personal information, subject to our legal obligations to retain certain records

9. Your rights

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request that we delete your personal information (subject to our legal retention obligations)
  • Make a complaint about how we have handled your information

10. Security

We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access. Our platform uses encrypted connections (HTTPS), access-controlled cloud databases and file storage, and role-based permissions to limit who can view sensitive information such as operator licence photos. Payments are handled entirely by Stripe and we never receive or store full card details.

No data transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

11. Complaints

If you believe we have not handled your personal information appropriately, please contact us at quotes@localwatersupply.com.au. We take all privacy concerns seriously and will investigate promptly.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our services or legal obligations. The current version will always be available at this URL. Where changes are material, we will notify affected customers by email where practicable. The date at the top of this page shows when the policy was last revised.
